PRIVACY POLICY

RJS is committed to respecting your privacy and ensures the confidentiality of your personal information. The appropriate collection, use and disclosure of this information is fundamental to our day-to-day operations and to all of those associated with your claim/case.

The following policy has been designed to ensure that RJS is in compliance with the Canadian Association of Rehabilitation Professionals (CARP) - Code of Ethics; Canadian Standards Association (CSA) - Model Code for the Protection of Personal Information (CAN/CSA-Q830-96); both Federal and Provincial privacy legislation; as well as the Personal Information Protection & Electronic Documents Act (PIPEDA) www.privcom.gc.ca.

Ten (10) Privacy Principles

Our Privacy Policy informs you of our commitment to privacy as well as the ways in which we ensure that your privacy is protected. Our Privacy Policy is applied to protecting all personal health and legal information that is in our possession and control. Everyone at RJS must abide by our strict commitment to privacy in the handling of personal information.

This having been said, we have implemented and ensure the enforcement of the following 10 Privacy Principles:

I. Accountability

     At RJS privacy is taken very seriously. We are accountable for all personal, health and/or legal information that is disclosed. Each consultant and employee associated with RJS is informed of the complexity and sensitivity of the information they hold in their possession and control.

II. Identifying Purpose

     RJS identifies the purpose and intention for which they will collect, use or disclose your personal, health and/or legal information. If for any reason their intentions change, the client will be informed in advance.

III. Consent

     RJS informs all new and existing clients of how their personal, health and/or legal information will be collected and handled. RJS understands that your consent (written and/or orally) is required when obtaining, or releasing, any or all, of your personal information (unless the law states otherwise). If a client wishes to withdraw consent at any time, that is their right to do so.

IV. Limited Collection

     RJS collects personal, health and/or legal information for the purposes it identifies at the time of collection. They are also bound by specific policies and procedures, which are fair and lawful.

V. Limited Use, Disclosure and Retention

     RJS will use or disclose personal, health and/or legal information only for the reason it was collected, unless a client gives consent to use or disclose it for another reason, or it is permitted or required by law. Should RJS require the services of a third party to handle your information, we will require them to adhere to their privacy policy that will keep your information confidential.

     RJS is committed to retaining your personal, health and/or legal information only as long as it is required. RJS is committed to destroying some or all records containing information that is no longer required. This will ensure your continued privacy.

VI. Accuracy

     RJS ensures that all personal, health and/or legal information is as accurate, complete, and in good order as it was at the time of collection. It is however, the client’s responsibility to inform RJS of any relevant changes to their personal information, if relevant.

VII. Safeguards

     RJS protects your information with the utmost appropriate safeguards and security measures. These safeguards are to prevent any unauthorized access, disclosure, copying, use or modification. Your records are only accessible to the consultants/staff of RJS.

1.Although our building is secure, a monitoring system (ADT) with strategically placed sensors have been installed in our offices as a secondary backup to intrusion or theft.

2.We have retained the services of a reputable on-site document destruction company (Shred-it, a Securit Company). Thus, allowing us to dispose of all documents that may contain confidential information in a locked storage box; the contents of which are removed and destroyed (shredded) on-site once monthly.

3.Our computers have been equipped with security (Symantec) and password protection allowing each staff member to walk away and/or leave without worrying about whether or not they’ve inadvertently left something visible on their computer screen.

4. As a general rule, all staff are responsible for ensuring that no client information is left unattended, specifically overnight. Files can only be housed in a locked location (i.e. desk, filing cabinet, storage room, etc.).

VIII. Openness

     RJS is confident about the policies and procedures it uses to manage your personal, health and/or legal information in a professional and confidential manner. We invite the client to review our privacy policy.

IX. Individual Access

     If a client requires access to the personal, health and/or legal information that RJS maintains, they must put their request in writing. RJS will respond to the written request within a reasonable timeframe; however, RJS may reserve the right to limit access to their information. If access is limited, you will be advised in writing of their decision.

X. Addressing Comments and Concerns

     RJS encourages all its clients to contact our office, if there are any questions or concerns regarding your protection or our privacy policy. RJS and its principles are mandated by the corporation to follow this policy at all times.
